How to Turn a One-Time Airbnb Guest Into a Direct Booking

Most hosts already have the raw material for repeat bookings sitting in their Airbnb inbox. They just never do anything with it once the guest checks out.

Why the first stay is never where you make the case

A guest's first booking almost always comes through a platform, because that is where they were looking and where the reviews live. Trying to sell them on booking direct before they have stayed with you is a hard pitch to a stranger. It rarely works, and it is not really the point.

The case for booking direct next time is made by the stay itself — a place that was clean, quiet and exactly as described — combined with what you do in the days after they leave. That is the part almost every host skips.

What to collect while they are still there

You do not need much: a name, an email, and ideally a phone number. Three low-friction ways to get it without touching the platform's messaging:

None of this happens through Airbnb's chat, and none of it needs to. It is information the guest hands over willingly, in your own space, the same way any small hospitality business collects a mailing list.

The email to send after checkout

Timing matters more than most hosts expect. Too soon and it reads as transactional; too late and the stay has stopped being top of mind. Three to four days after checkout is the window that works best. A simple template:

Subject: Thanks for staying at [Property Name]

Hi [Guest Name],
Thank you for staying with us — we hope [specific detail from their trip] went well. If you are ever back in [Area], we would love to host you again. Guests who book directly with us get [first pick of dates / a returning-guest rate / a small perk], and it skips the extra platform fee on your side too.
Here is where to find us next time: [direct booking link]
Thanks again,
[Your name]

Keep the offer concrete and modest — a fixed discount, early access to your calendar, or a small extra (late checkout, a bottle of wine) works better than a vague "come back any time." The goal is a specific enough reason that they bookmark the email instead of archiving it.

What actually gets someone to act on it

A single email will not turn every past guest into a direct booker, and no honest host will tell you it does. What moves the number is doing it for every guest, every time, without relying on remembering to send it manually — and pairing it with a reason to trust you outside the platform, like a Google Business Profile with real reviews they can check before they commit.

This is also why outreach only ever happens after checkout, on your own email or SMS. Diverting a guest to book direct while they are still messaging you through Airbnb or another platform breaks that platform's terms and puts your account at risk — the stay has to be fully over first.

Making this automatic

HostRev sends this sequence for you after every checkout, keeps every guest's contact details in one place, and builds the Google reputation that gives a returning guest a reason to trust you outside the platform. See how it works, or go straight to pricing if you already know you want it.
